Purpose

This document is provided to help ensure you have access to all the necessary applications and software for you to begin your training with the Charity

Most Importantly, following this guide will provide you the knowledge and tools you need to access the Charity VPN when you return home to enable you to work securely and safely.

Please ask for help at any point whilst you follow the steps, so you can be confident you have everything you need before you return home

Step 1

Log into your new Laptop using your provided username and password

Your username will look like this: mickeym@cccs.co.uk

Step 2

Once logged in, you should receive a prompt to change your password to something only you can remember, please complete this and note it down

If you do not receive a prompt, please flag to your IT Representative straight away

Step 3

Locate the Fresh icon on your Desktop, it looks like the below:

This is the Fresh portal where you can raise Incidents or request specific services from the Technology Services Department (IT)

It also holds “how to” documents for gaining access to the Charity Systems

To access Charity Systems from home you will need to set up 2 Factor Authentication for Security purposes by downloading an App

Instructions for downloading the app are here:

Type Okta into the Search area and select the below document to follow, you will need to complete this before you leave today:

Step 4

Once you have installed the Okta App on your mobile phone, locate Chrome on your Desktop and go to the following Dashboard:

https://stepchange.okta-emea.com/

You will log in using your @cccs.co.uk username and the new password you have set, it will the request your Okta Code

Open your Okta App and enter the number in the box

Once here, follow the below guide located in the Fresh Solutions

Step 5

Open Outlook from your Start Menu and ensure you can sign in

Flag to your IT Representative if you cannot

Step 6

Open Microsoft Teams either from your Start Menu or your desktop, it looks like this:

To ensure it works as you expect, make a Test call using the below instructions

Please test using your headset and without your headset to ensure the speakers work

Step 7

You will ned to connect to the VPN when you get home to access the Charity Network and Application

We can run limited testing to assist you with this today

To do this, you should disconnect from the StepChange Wifi and connect to a mobile hotspot, either your own if you are happy to, or your one of the StepChange employees where available

Firstly, you should open Forticlient, this is the application you will use to access the VPN every morning

Log in using your @cccs.co.uk username and the password you reset it to earlier

When you receive the prompt to enter passcode, please use the code from the Okta app you installed on your mobile phone

You should see the counter go to 100%, at this point you are then connected to the VPN and can access whatever you need that is in the Charity Network

This is not 100% effective, but will demonstrate to you what to do and how it looks, around 80% of the time it will work

That’s it!

The training team will take it from here

Good Luck!
