Summary

This guide will walk you through the steps of setting up your new laptop. It provides an overview of Microsoft authenticator installing apps and tips for common queries the Service Desk team receive.  
This guide doesn’t cover all eventualities and there may be slight variations in the set up (i.e. laptop set up questions appearing in a different order) follow the instructions that appear on your screen during setup. If you are unsure at any point, call the Service Desk line for support.

Set up Preparation

  • Ensure the laptop is plugged into a power supply before switching it on. Losing power during the process will elongate it and cause issues.
  • Have your cccs.co.uk email and your WI-FI password at the ready.
  • If you’re in the office (and where possible at home) please use a wired connection via a docking station or an ethernet cable.

Microsoft Authenticator and Windows Hello for Business.

Already using: 

New biometrics/PIN code will be needed for the new device. You will be prompted to set these. Please skip ahead to Laptop Setup. 

Set up Required:

To ensure devices are secure everyone will need to install the Microsoft authenticator app on their mobile device. It increases security, allows the use of biometric and PIN code logins (meaning you only need the password for the VPN, RDS Web etc) and greatly reduces the chance of you being locked out of your laptop.

Tip: There are many authenticator apps available. To make sure you download the right one you can scan a QR code and get guidance from the Microsoft website. Download Microsoft Authenticator - Microsoft Support

Laptop Set up

Turn on the laptop and follow the on-screen instructions, below is guidance on what options to select:

  • Language: United Kingdom
  • Region: United Kingdom
  • Add a second Keyboard Layout: Skip
  • Let’s Name your PC: Skip (Naming your PC can causes future issues)
  • Wi-Fi Connection: In the office you should be connected to a docking station or wired connection. At home if you were unable to use a wired connection select your internet and enter the password.
  • How would you like to set up this device: Set up for work or school. Then enter your cccs.co.uk and your password.
Setting up for work or school: Allow all 3 listed items to state they are complete before moving on. DO NOT click on continue anyway as this can cause errors. 

  • Microsoft Settings e.g. Let Microsoft and apps use your location 

These often appear while the above stage is running, don’t worry once you’ve finished these the device will go back to setting up for work or school. Please select: Yes/Allow on all of them.

The device may restart a few times during the process. Once the setting up for work or school page has finished you may need to enter your email and password again to log in, but the initial set up of the device is done 😊.

Tip: Don’t panic if your desktop isn’t showing all your items straight away these will appear as OneDrive sync’s.

Tip: Window’s will complete updates while its building but its good practice to type updates into your task bar and double check there’s no additional ones.

Company Portal – Self Service Applications

Installing FortiClient

In your windows task bar type in company portal and open the app.

Search VPN in the search apps box and click on the FortiClient VPN (version number may differ from image below) (shown at the top of the image below).

On the next screen click Install and it will begin downloading (shown in image below). The laptop will restart during this process.

After the restart FortiClient will show on your desktop and you can access the VPN.

Additional Actions

Re-open Company Portal and from the navigation bar on the left click on apps.

Here you can install any of the applications you see.

Tip: Some of these may be vital to your job role so please ensure you check the full list.

The below applications are often missed during this stage: 

7-Zip: Encrypting files containing private information.

 Adobe: used for reading PDFs.

DMS: used for managing clients active plans. You will also need to install DMS plugins here as well.

Docutrieve Storage Master: This will install both storage master and Docutrieve. If you can’t see this in available apps, please raise a service request via Fresh.  

Printers: These will enable you to print from the office (There is a separate download for the London printers).

Additional Tips

RDS Web

If you use RDS Web for access to things such as DCS and Vision Blue, you need to use your password to log in. The pin or biometrics will NOT work. When the applications ask you to sign in click on more choices. From the list that appears select the option with your name andfromcs.co.uk and enter your password.

Genesys

When logging in for the first time click on ‘more login options. Type in ‘stepchange’, click ‘Next’, then click on ‘Microsoft’. Finally click on your account name and your all set.

DMS

When logging into DMS for the first time you will need to enter the login details. Click to tick the box next to ‘use Windows Logon Security’. The host name and Data Account are shown in the image below.

Network Drives: Accessing shared folders

These are located in file explorer under This PC (show in image below)

FAQ’S

Q:  Why do I have to install Microsoft Authenticator?

A:  Microsoft Authenticator integrates with current and future Microsoft technologies placing the emphasis on you being the identity. This allows you to securely connect to MoorePay, CIPHR, HR and future portals.

Q: I’ve turned the laptop on, but the mouse isn’t working what should I do?

A: The mouse will start to work like normal, for now you can plug in a USB mouse and use this instead of the track pad. If you don’t have a mouse to hand you can use the tab button on the keyboard to move between objects on the page. When you reach the object, you need use the enter key. If you need to enter text, you can start typing once you have selected this option using the tab button and when you’ve finished typing use the tab button to move on.
