Outlook – Distribution Groups and Mailbox Amendments
Summary
This article advises on how to make changes to email distribution groups and mailboxes. These changes can vary but the most common is adding/ removing a member.
Guide
To raise a request to change or update an email group log into Fresh (which can be found in the step change folder on your desktop) and click on Request a new Service.
From the list called Service Categories Select Email.
This will open a page showing the email requests that can be made, including:
Amend Email Group – this request enables you to request an edit to an existing distribution group such as a set team or department. For example, the review team ([email protected])
Mail- Mailbox Access – Access is broken down into two categories ‘Send From’ – allowing users to send emails from this email address but not see the full mailbox and ‘Full Access’ – allowing users to access the inbox/outbox etc.
Mail – New Distribution List – A request for a new group to be created who will need a shared email contact. For example, a team leaders’ team or a group of people working on the same thing.
Mail – Create Shared Mailbox- A request for a new mailbox to be made that can be accessed by a group of users.
FAQ’S
Q: I need to make a different request for a mailbox/group but can’t find the request form for this what should I do?
A: If there isn’t a specific form for what you need, please raise a general request. Only do this once you have searched as the forms have been designed to get the needed information. The team will support in the request or pass over the correct request form if available. Please note it may take longer to action if it is a general request as more information and confirmation may be needed.
